Client onboarding is the process of acquainting new clients with our agency and our services while gathering all the information we need to serve our client’s needs. Despite the fact that a lack of proper onboarding is one of the top causes of client churn, most agencies don’t spend the time they should on a thorough, well-defined onboarding process. This is why Robo Spy has the most thorough, detailed and methodical approach to onboarding our SEO clients.   You will never be ‘in the dark’ about anything.

Our client onboarding process is a well-oiled machine that produces a confident, highly invested client base. Our process involves the creation of an airtight communication plan. Through our meetings and questionnaires we will be able to discover our clients backround and goals.

Now that we have set yourself up for success in month one, month two is all about goal-setting with your benchmark reports and diving into the analytics. A lot of SEO professionals skip this phase. But in reality, this is one of the most critical steps in getting to know our clients. You don’t want to set goals and objectives if they are too difficult to measure and reach. At Robo Spy we don’t have the heaviness and the feeling of “This is what I’ve got to do to keep the client happy,” and instead we let the data dictate what we should be doing.  Consider this 12 month blueprint a drag and drop strategy where everything is NOT in stone as dragging and dropping Month 5 into Month 4 is sometimes what the data encourages us to do. With a little planning and data, crafting a large-and-in-charge SEO strategy is totally doable.  I mean, that’s why you hired us, right?

Pillar Content Keyword Research & Content Calendar

Hunting down the perfect pillar keyword for every page on one of our SEO client’s website is always difficult. If we’re working on a website with thousands (or millions) of webpages, here’s a hack we use for narrowing the keyword research: We start with the main navigation and footer pages to help achieve your goal in 4 weeks. Once we flesh out our client’s big key terms, we can begin prepping a content gap analysis to give ourselves time to review your competitors. Then, we create the content calendar template based on our research to give our clients  some quick wins.

For example, maybe our client needs one more solution page or a few blog posts to help support internal linking to a moneymaking page. Or, if they cleaned up the thin or duplicate content, they could see some movement into the competitor’s search results. What follows is a breakdown of Robo Spy’s month three with clients. We like to think of this month as giving our clients something to focus on and write internally as we’re preparing for the technical SEO.

MONTH 4

Content Audit Implementation

Most websites are filled with their fair share of successes and failures when it comes to content. Maybe the client changed their mind about a new product solution. Maybe they no longer sell a product. Or, maybe our client created so many webpages to support one product that they could all be consolidated into one amazing webpage.

When one of SEO experts at Robo Spy first run a content audit, that’s usually how it goes. No matter how our client’s content looks on the site, this is the month for us to dive into the details of thin content, duplicate content, empty pages, refreshes – basically, all things content.

MONTH 5

Technical SEO Implementation

After the content audit drops, it’s time to shift to all things technical SEO. This is where we tuck ourselves away in a dark room to invest time into Core Web Vitals and Page Experience. Seems pretty straightforward, right? Well, there is an extra layer when it comes to this technical SEO endeavor: We have to provide implementation instructions for our client’s web developer. Sometimes that’s simply giving instructions to another Robo Spy staff who specializes in website design only and other times it’s giving the instructions to our client’s webmaster. 

Depending on our contract (and comfort), we can run with the technical SEO recommendations ourselves by implementing them. Or, we can work with the client’s web developer.

Technical SEO Implementation 2.0

Technical SEO is a marathon, not a sprint. However, we can integrate our Clients technical SEO into sprints if we’re working with a developer. Once those first audits of Core Web Vitals and Page Experience in month five are handed off, we might get the urge to go back to content in full force.

Technical SEO isn’t something we should postpone like those holiday decorations you forget to put up every year. Website architecture, accessibility, and mobile may seem unimportant to our clients when we haven’t made it to content distribution yet, but the truth is, technical SEO is shifting to become the new standard.

We start with an essential, keyword-rich topic that we have been holding in our back pocket for a bit now.  We think about upcoming trends related to our clients products or services in order to give a fresh perspective on their content.  When we come to the table with keyword research and an updated content calendar with briefs, we are showing our clients that we care about them and their business. It helps bring new energy to a long relationship.
